Parent Teacher Organization (PTO) Volunteer Descriptions

If you are interested in volunteering for any of the positions listed below, please fill out the PTO Volunteer Interest Form.

Volunteer Coordinator

  • When: Throughout the Year
  • Will Maintain a master list of all parent volunteers, including their contact information and what events or projects they expressed interest in.
  • Will Assist Event Chairs with finding volunteers by providing chairs with volunteer lists and/or sending emails to potential volunteers.
  • Scheduling and coordination of a volunteers time is then handled by the committee

Back to School Committee

  • When: August-September
  • Requires at least two members. At least one member will need to attend the PTO monthly meetings for an update or contact the President.
  • Instructions will be made available.
  • Make Poster/Flyers about joining the PTO
  • Will attend Preschool and Kindergarten meetings to recruit new volunteers.

Recess duty help (Lincoln)

  • When: Throughout the Year
  • You will attend Lincoln at lunch time and watch the children at Recess
  • Once a Month (Sign up for what you can do)

Mileage Club volunteers (Madison)

  • When: Daily in the nice months, Throughout the Year
  • You will punch card as children complete a lap around the playground

Volunteer coordinator

  • When: Board Position, Mostly from home Throughout the Year
  • You will help make sign up forms
  • Call and/or recruit Volunteers
  • Make sure all spots are filled

Fall Fundraiser (Madison and Lincoln)

  • When: October-November
  • Requires at least three to four members. One member will need to run point and will need to attend the PTO monthly meetings for an update or contact the President
  • Instructions will be made available.
  • Maintains contact with the chosen company.
  • Ensures both schools and President are aware of the timelines.
  • President will approve fundraiser with superintended
  • Coordinate advertising for the fundraiser.
  • Pass out all fundraiser materials
  • Organize order forms that were turned in and verify money. Plan a date for more help.
  • Get the money to the treasurer and turn in everything to company.
  • Coordinate pick up of fundraiser and notify parents.

Fall Fundraiser (Jefferson)

  • When: November-December
  • Requires at least three to four members. One member will need to run point and will need to attend the PTO monthly meetings for an update or contact the President
  • Instructions will be made available.
  • Maintains contact with the chosen company.

Book Fair Assistance (All Schools)

  • When: March
  • Volunteer during hour-two hour time slots to help out in the libraries

Teacher Appreciation Planning Committee (All Schools)

  • When: May
  • Requires at least two to three members. One member will need to run point. and will need to attend the PTO monthly meetings for an update or contact the President
  • Instructions will be made available.
  • Organizes Snacks for beginning of the year and 12 days of Christmas
  • Organize Teacher appreciation day or Week breakfast/lunch/Snacks
  • Other Schools Examples: breakfast buffet catered by Hy-Vee Monday, (pancake bar with bacon/sausage), a popcorn bar Tuesday (with Candy to put in it), coffee and donuts Wednesday (parents brought creamers/half&half/whip topping from a can and fruit/fruit dip, brownie, cupcakes, apple shaped and reg cookies, muffins ), Pizza and Water Thursday, and cake Friday!!!
  • They delivered, set up, cleaned up
  • Put together raffle baskets
  • Teacher gift
  • Examples- cool shirt or Pella product with candy bar

T-shirt Committee (All Schools)

  • When: May-Sept – Most from home.
  • Requires at least three to four members. One member will need to run point. and will need to attend the PTO monthly meetings for an update or contact the President.
  • Instructions will be made available.
  • This committee forms in the spring and needs to be ready to go right away in the fall.
  • Secure 9 sponsors (Preschool, Kindergarten, 1st, 2nd, 3rd, 4th, 5th, 6th, Staff) and get their Vector files.
  • Let Treasure know when to send an invoice.
  • Print Information sheets and envelopes.
  • Have spreadsheet with every class student including teacher name for each school. Along with an additional staff shirt spreadsheet for each school.
  • Pass forms to every class and a week later collect the turned in forms and money.
  • Complete the spreadsheets and submit to T-shirt company.
  • Deliver T-Shirts to the appropriate schools/classrooms.

School Supply Sales (All Schools)

  • When: March-September, Mostly done from Home
  • Contact Company
  • Promote
  • Organize delivery to schools
  • Set up labels and organize delivery to classrooms

Box Tops Committee (All Schools)

  • When: Throughout the Year.
  • Requires at least two to three members. At least one member will need to attend the PTO monthly meetings for an update or contact the President.
  • Instructions will be made available.
  • Provides Box Tops sheets for students/ parents.
  • Communicates with staff, administration, and parents to bring in Box Tops.
  • Communicate new way of submitting box tops through an App.
  • Counts and cuts Box Tops for submission.
  • Sends in Box Tops periodically.
  • Plan motivational contests.
  • See Binder

Movie Nights

  • One night commitment.

Staff Support (All Schools)

  • When: Throughout Year, Google doc will be sent out
  • Donate Food (Fall and Spring Conference Dinner x2 nights, Staff Appreciation Week, Bus driver breakfast, teacher beginnings of year breakfast, Snacks)

Appreciation meals organizer for Staff

  • When: A few time a Year/Can be done from home (Conference Meals Fall/Spring 2 nights each, Beginning of the year snacks, 12 days of Christmas)
  • Requires at least one to two members. One member will need to run point. and will need to attend the PTO meetings for an update or contact the President
  • Instructions will be made available.
  • Organize meals for Parent/Teacher conferences for both nights in the Fall and Spring for all three schools.
  • One night for each school will be paid by the PTO so the member will need to order the food.
  • One Night will be parent supplied so the member will need to put out and maintain the google doc.

Appreciation meals organizer for other departments

  • When: A few time a Year/Can be done from home (Janitor/Cafeteria Lunch, Secretary Lunch, Bus Barn, Nurse Lunch)
  • Pick a place to order from
  • Get Staff Orders
  • Order the food
  • Delivery the food/or Have it Delivered

Communications Committee

Website, Facebook/Instagram, Parent emails, bulletin boards, photocopying, event posters.

  • When: Throughout the year but mainly from home.
  • Manage Facebook/Instagram account
  • Update Website
  • Send out email to parents from PTO
  • Organize groups to make bulletin boards or event posters
  • Photocopying for PTO

On-Call Volunteers

If you are not sure right now how you can help, but would like to be involved in the future, your name can go on our “On-Call” Volunteer list. If we find we’re short handed for an activity or event, we’ll go to our On-Call list and check with you to see if you can help with an activity or event.

Donate a needed item Throughout Year

There are many times and reasons that donations are need. It could be a teacher/school need, a product for a giveaway with the PTO, or just a donation to go towards enhancing our schools.

Clothing Drive/Organizer Committee

  • Organize Clothing drive once or twice a Year. For Old PTO shirts, New/Used Clothing Including sock and undergarments, Shoes, Winter accessories, Nice dress clothes
  • Go to all three schools Every other month and organize the Clothes
  • Make a list of supplies the schools need to buy or get for donations

Teacher Staff/Recognition

  • Make a survey for all staff to fill out about themselves
  • Highlight all the staff in a specific department each month
    • Examples: RN, Principal, Secretaries, Preschool, K/PreK, 1,2,3,4,5,6,Special Ed, Janitor/Cafeteria, Special (Art, Music, PE), Maintenance
